JOB SUMMARY (Finance Officer NGO Job in Bangalore Karnataka Apply by 11 May 2025)
The position will lead all day-to-day finance operations at Teamlease Foundation National Office, Delhi. It will hold functional responsibility towards checking invoices/ claims, processing payments, Bank Reconciliations, bookkeeping and accounting, Income Tax deductions and payments etc. The role effectively supports the implementation of all financial policies and activities in the national office. The individual in this position must be able to adapt to a continually evolving environment; demonstrating both, the autonomy and collaboration skills needed to advance Teamlease Foundation’s purpose and the leadership to inspire confidence of all internal and external stakeholders
KEY ROLES & RESPONSIBILITIES: (Finance Officer NGO Job in Bangalore Karnataka Apply by 11 May 2025)
- Financial and Accounting (including Project Accounting):
The Finance Officer is expected to perform a wide range of duties including all of the following:
- Verification of all bills and supporting documents and ensuring that all the payments are made in accordance with Teamlease Foundation standard procedures and help in communication on all financial issues to various teams.
- To ensure that all financial transactions are recorded accurately and on time.
- To check receipt and payment vouchers & approve them post verification and in compliance with Teamlease Foundation policies and regulatory requirements.
- Carry out control and supervision to ensure timely payment of all office operation costs, e.g., rent, electricity, water, telephone, internet bills etc.
- To regularly scrutinize the ledgers, cash balance, all advances/ imprest accounts to ensure funds are properly utilized and accounting transactions are being recorded correctly.
- To maintain vendor records and payments.
- To liaison with banks for receipts, payments and transfers.
- Ensuring that all bank accounts are reconciled on a monthly basis.
- Maintaining and meeting the fund requirements at the national office and the projects under various regions.
- Ensuring management of filing systems and maintaining office records/ registers properly.
- Responsible for office cash maintenance.
- Carefully track and report project expenses, burn rates, and cash received from donors on a monthly basis. Alert finance and program supervisors when there are any financial risks for projects.
- Assisting the Finance Manager in creating Chart of Accounts (COA) for new projects in line with the organizational requirements and in accordance with the accounting software.
- Ensure the program ledger is being updated by the 10th of every month and monthly expenses being tracked through the google smart sheet being maintained.
- Coordination with the regional finance team for timely utilization of project funds and in preparation of donor reports and utilization certificates.
- Ensure all project expenses are being verified as per the project terms and booked under relevant approved budget heads. Prepare/ support preparation of the budget revision in consultation with the respective team members.
- Perform project variance analysis and provide updated projections to support internal management and/or donor requirements.
- Statutory Compliances:
- Ensure financial compliances as per law and in line with the organization’s procedures and guidelines.
- To coordinate with other regional offices for errorless statutory compliances.
- Deduction of all taxes like Income Taxes (TDS), Professional Tax etc. on all applicable payments to the vendors/ staff etc.
- Ensuring timely deposition of TDS amount with Government bank accounts and assist in filling of the quarterly/ annual returns.
- Ensuring timely payment and deposit of EPF on month-to-month basis.
- Assist in responding to audit requests from donors and managing the close-out processes and ensuring there are no gaps in the utilization of funds.
- To support donor audits including addressing audit queries and to prepare reports and utilization certificates for the donor projects as per terms and conditions of the grant agreement.
- To provide support in statutory/ annual audit/ donor audits any scrutiny’s le by any of the authorities.
- To support donor audits including addressing audit queries and to prepare reports and utilization certificates for individual donor projects as per terms and conditions of the grants.
- To coordinate with Tax/ PF consultants to prepare replies to notices from Income Tax, FCRA and PF department and provide detailed information/ documents asked for during income tax scrutiny.
- Providing support for timely issuance of form 16/ 16A to staff and vendors and or as appropriate.
- Grant Management & MIS:
- Coordination with Program teams in managing programmatic expenses including Grants and contracts (it any).
- To prepare donor reports /utilization certificates for donor reporting in co-ordination with program teams.
- Reconciliation of donor balances.
- Preparation of variance monthly variance reports.
- To analyze donor agreements to ascertain usage of funds as per agreement with donor.
- To provide documents and information for new grant proposals.
- Support in new donor proposal including reviewing the proposed budgets.
- Any other need-based tasks/ assignments given by the line manager or functional Director/
- Director/Regional Director.

- Proven numeracy and financial analysis/planning skills.
- Ability to use the financial system and track accounting activity.
- Ability to prioritize workload, assume responsibility for work, and follow through to completion.

- Ability to work on multiple projects simultaneously.
- Excellent critical thinking and project management skills

- Training and capacity building skills
- Highly computer literate with Microsoft Office, google smartsheet, and Sage accounting software.

Post graduate in Commerce/ MBA (Finance)/ CA (Inter) with at least 2 – 4 years of experience in accounting or finance, preferably in NGO, a foundation with exposure to budgeting, accounting, financial management, grants, monitoring, and reporting.
